Filling compliance forms

If compliance is enabled for the environment, you may be required to complete a compliance form for each artifact you own.


When a form is required

A compliance form must be submitted when:

  • The artifact is missing a compliance submission
  • The previous form expired (validity: 180 days)
  • Admins updated the form
  • New governance requirements were introduced

You will be notified by email when a compliance form needs to be filled out or renewed.


Completing a compliance form

  1. Open Impliancy (you can use the link provided in the email).
  2. Navigate to the relevant artifact (Apps, Flows, Desktop Flows, or Bots).
  3. Open the artifact and go to the Compliance section.
  4. Fill in all required fields.
  5. Submit the form.

Forms can contain dynamic, conditional fields that appear or hide based on your answers.


Approval

Auto approval

If your answers meet the configured safe criteria, the system approves the form automatically.

Manual approval

If manual review is required, an admin reviews and approves or rejects the submission.

You will receive a notification once the review is complete (according to your tenant’s notification settings).


Validity

Once approved, your compliance form is valid for 180 days.
Before it expires, you will again receive an email notification asking you to renew the form.
If the form expires without renewal, the artifact is marked as non-compliant until a new form is submitted and approved.
